Most late payment is not a client deciding to cheat you. It usually comes down to something ordinary, and most of it can be changed from your side:

What late payment really costs you

The obvious cost is the wait. The less obvious ones are the interest on whatever covers you meanwhile, the hours spent writing polite reminders instead of paid work, and the decisions you put off because the money is not there yet. This calculator counts the first two, because they are the ones you can put a number on. How the cost is calculated

Money tied up at any moment = yearly invoicing / 365 x average days late Financing cost per year = money tied up x borrowing rate Chasing cost per year = hours a month x 12 x your hourly value Yearly cost of late payment = financing cost + chasing cost Freed by cutting 15 days = yearly invoicing / 365 x 15

The money tied up is the average amount sitting in invoices that are past their due date on any given day. It does not count invoices that are still within their terms, because that wait is one you agreed to. If clients pay less than 15 days late on average, the last line uses their actual lateness, since you cannot free more than is late.

Add two things. First, the money tied up in late invoices (your yearly invoicing divided by 365, times the average days late) multiplied by the rate you pay to borrow. Second, the hours you spend chasing each year multiplied by what your time is worth.

Use the rate your savings would earn, or 0 if you prefer. Late money still has a cost when you do not borrow: it is money you cannot spend, save or use to take on the next job.

From the due date. The time within your payment terms is a wait you agreed to. This calculator measures only the extra days clients take beyond that.

Usually, if the fee was agreed in writing before the work started, and it stays within the limits where you and your client are. Some places also give businesses a legal right to interest on late commercial payments. Check the rules that apply to you before you add a fee.
