Keeping end user privacy at the forefront, we hereby declare that your personal information is not traded/sold/leased to any other website or source. This privacy policy acts as an ordinance pledging ethical practices from our end. Billbooks is an initiative taken to enhance the online billing experience, ensuring user friendliness, without inflicting our personal interests onto the same.
We work with extreme transparency and clarity of thoughts. We believe in adhering to ethical code of conduct and refrain from indulging in illegal practices which result in moral infringement. Billbooks is an online billing application fuelled by only a required amount of information which ensures its effective functioning. Information of any kind remains secure and is not exported to other sources under any circumstances whatsoever.
We do not store card numbers. Payments for Billbooks subscriptions are handled by our payment processor, and payments in our mobile apps by Apple or Google; card details go to them, not to us. Where your own customers pay your invoices online, the payment is handled by the gateway you connect to your account under that gateway’s own terms.

Account information: your name, email address, company name, country and the password you choose, which we store only as a cryptographic hash. If you invite staff to your account, the same applies to them.
Business information you enter: your clients and their contact details, invoices, quotes, estimates, items, expenses, projects, time entries, taxes, payment records and any files or logos you upload. This is your data. We hold it so the Services can work for you.
Subscription and payment information: which plan you are on, when it started and renews, and the reference our payment processor or the app stores give us. We do not receive or store your full card number.
Technical information: the IP address you sign up from, the address and country a request comes from, the pages and features used, the browser or device, and server logs. We use this to keep accounts secure, to detect abuse and to understand which parts of the product are used.
We do not sell your personal information, and we do not use the contents of your invoices or your clients’ details for advertising.
There are two kinds of email from us, and they work differently.
Service email is part of using Billbooks: confirming your account, sending the invoices and quotes you asked us to send, renewal and expiry notices, and replies to your support requests. You cannot turn these off while you have an account, because they are how the Services work.
Email you can stop is everything else: a short monthly note about getting paid and running a small business, and a small number of follow up emails after you use one of our free tools or templates. We send these because you gave us your email address on billbooks.com, either by asking for this email or by using a tool that needed an address to send you your document. We do not send more than one of these in a week.
Every one of them carries an unsubscribe link, and most email apps also show their own unsubscribe button next to our name. One click is enough, it takes effect immediately, and it stops all of them, not just the one you clicked from. You do not need an account and you do not need to reply. Unsubscribing from this email never affects your service email, your invoices or your account.
We do not sell or rent your email address, and we do not buy lists.
Billbooks offers subscription plans through the Apple App Store and Google Play Store. When you purchase or restore a subscription through the Billbooks mobile application, Billbooks may receive information necessary to verify, manage, and provide access to your subscription.
This information may include your subscription status, subscription type, product or plan identifier, purchase date, renewal date, expiration date, cancellation status, and information necessary to associate the subscription with your Billbooks account.
Billbooks does not receive or store your complete Apple App Store or Google Play payment card details. Payments for purchases made through the Apple App Store or Google Play are processed by Apple or Google through their respective payment systems and are subject to their applicable privacy policies and terms.

Billbooks may use third-party service providers to assist with subscription management, purchase verification, subscription status, and related services. These service providers may process information on behalf of Billbooks as necessary to provide these services.
Billbooks may use RevenueCat as a subscription management service to process subscription information, verify subscription status, and synchronize subscription entitlements with your Billbooks account.
Billbooks may retain subscription-related information for as long as reasonably necessary to provide the Services, maintain accurate account and subscription records, comply with legal, tax, accounting, and regulatory obligations, resolve disputes, provide customer support, and enforce our agreements.
We use other companies to run parts of the Services. They may process information on our behalf, only as needed for the job they do for us:
We may also disclose information if the law requires it, to enforce our terms, or to protect the rights and safety of our users or of Billbooks. If Billbooks is ever sold or merged, your information may transfer with the business, and this policy continues to apply until it is replaced.
Billbooks is an Australian company and our service providers operate in several countries, so your information may be stored or processed outside the country you live in. Wherever it is processed, it remains subject to this policy and to the agreements we hold with those providers.
We keep your account and business data for as long as your account exists. When you delete your account, that data is removed from our live systems straight away, and from our backups within 30 days as those backups age out.
We keep records we are required to keep, such as records of payments made to us, for as long as tax and company law requires. We may also keep a minimal record of a closed account, such as the email address and the date it was closed, to handle disputes and to prevent abuse.
If you are on our email list, we keep your address until you unsubscribe, and then we keep a record that you unsubscribed so that we do not email you again by mistake.
You can delete your account yourself in Billbooks on the web, under Cancel account. Deleting removes your organisation, your clients, invoices, quotes, estimates, items, expenses, projects, time entries and uploaded files. It cannot be undone, so download anything you want to keep first.
You can also ask us to delete your account by writing to su*****@*******ks.com from the address the account uses. If you only want to stop paying, you can cancel the subscription and keep the account.
Connections to Billbooks use TLS, web sessions are held in cookies that JavaScript cannot read, passwords are stored only as hashes, and credentials for services you connect, such as accounting integrations and payment gateways, are encrypted where we store them. Access to production systems is limited to the people who need it, and backups are taken daily and tested. No system is perfectly secure, so please use a strong, unique password and tell us at once if you think your account has been used by someone else.
We use cookies that are needed to sign you in and keep your session, and Google Analytics through Google Tag Manager to count visits and see which pages and features are used. Our website also sets a first-party cookie that remembers where a visitor first arrived from, so we can tell which pages bring people to Billbooks. You can block or delete cookies in your browser, although the Services need their session cookie to work.
Billbooks is a business tool and is not intended for children. You must be at least 18, or the age of majority where you live if that is higher, to have an account. We do not knowingly collect information from children. If you believe a child has given us information, write to su*****@*******ks.com and we will remove it.
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You can download your own business data from within Billbooks at any time. Depending on where you live you may also have the right to object to some processing, to ask us to restrict it, or to complain to your data protection regulator. In Australia that is the Office of the Australian Information Commissioner. Write to su*****@*******ks.com and we will answer within 30 days.
When you use Billbooks to bill your own clients, you decide what client information you enter and we process it for you. If one of your clients asks us about their information, we will pass the request on to you.
We may update this policy as the Services change. The date at the top shows when it was last updated, and we will tell account holders by email before a change that materially affects them takes effect.
