Billbooks runs on a global edge network

Your invoices, estimates and clients are served from the network location closest to you, not from one machine on the other side of the world. Moving between a list, a new invoice and a sent document happens in the time it takes to look at it.

Billbooks is not trying to replace your accounting software. Xero is the ledger, the bank reconciliation and the tax return, and it is what your accountant works in. Billbooks is where the quote is built, the invoice is sent and the payment is chased.

These connectors exist so the invoice only has to be entered once, in the tool built for raising it, and still reaches the books. Every question below is answered in full at the bottom of this page.

If your accountant works in Xero

Plenty of Australian and New Zealand businesses run their books in Xero and hand it to an accountant or bookkeeper at the end of the quarter. The awkward part has always been the middle: invoices raised somewhere sensible, then keyed into the ledger a second time by hand.

That is the gap this closes. Raise and send the invoice in Billbooks, chase it there, and push it into Xero when it is done. Billbooks handles multi-currency and per-line tax rates, so an invoice billed in AUD, NZD or anything else arrives in the books as the document you actually sent.

Questions

Does Billbooks sync with Xero? +

Yes. Connect your Xero organisation from Settings, then push invoices into Xero from Billbooks with the client and line items intact. It is a push you trigger, not a silent background sync, so nothing reaches your books that you did not send. Available on the Professional plan.

Does Billbooks replace my accounting software? +

No. Billbooks is invoicing, quoting and payment chasing. Xero is the ledger, the bank reconciliation and the tax return. They do different jobs, and the integration exists so the invoice only has to be entered once.

Which plan do I need for Xero and Zapier? +

Both connectors are on the Professional plan. If you are on Basic or Standard the card shows an upgrade prompt rather than a connect button. API keys are not limited by plan.

What can Zapier do with Billbooks? +

Billbooks can trigger a Zap when a new invoice, estimate, client or expense is created. Zapier can create an invoice, estimate, client, expense or item in Billbooks. You connect on the Zapier side using a Billbooks API key.

Where do I get an API key? +

In Billbooks, open Settings and then Integrations. Create a key under API Keys, copy it once, and use it as the credential for Zapier or your own code. You can revoke a key at any time, and the list shows when each one was last used.

What does the public API cover? +

Invoices, estimates, clients, items, expenses, expense categories and taxes, plus an endpoint for the authenticated account itself. The full reference, including authentication and rate limits, is at docs.billbooks.com.

Does Billbooks integrate with QuickBooks? +

Not yet. Xero is the accounting integration available today. The connector framework is built to take more than one, so this is a question of when rather than whether.
