Billbooks is not trying to replace your accounting software. Xero is the ledger, the bank reconciliation and the tax return, and it is what your accountant works in. Billbooks is where the quote is built, the invoice is sent and the payment is chased.
These connectors exist so the invoice only has to be entered once, in the tool built for raising it, and still reaches the books. Every question below is answered in full at the bottom of this page.

Zapier reaches thousands of apps, so a new Billbooks invoice can start almost anything: a row in a spreadsheet, a card on a board, a note on the deal. These are some of the ones small businesses ask for most.
Or browse every Billbooks integration on Zapier. For QuickBooks Online, the built-in connector above is the better route: it carries the client and line items, and sends expenses across as bills. The Zap is there if you already run your automations in Zapier.
Each of these connects to Billbooks through Zapier rather than as a direct Billbooks integration. Xero is the exception and connects directly. All product names and logos are trademarks of their respective owners, shown here to identify the apps a Zap can reach.
Plenty of Australian and New Zealand businesses run their books in Xero and hand it to an accountant or bookkeeper at the end of the quarter. The awkward part has always been the middle: invoices raised somewhere sensible, then keyed into the ledger a second time by hand.
That is the gap this closes. Raise and send the invoice in Billbooks, chase it there, and push it into Xero when it is done. Billbooks handles multi-currency and per-line tax rates, so an invoice billed in AUD, NZD or anything else arrives in the books as the document you actually sent.
Connect a payment gateway and every invoice you send carries a Pay Now button. The client pays on the invoice page, with no account and no login. Set them up under Online Payments Integration in Settings, and connect as many as you like.
The money goes to your own gateway account. Billbooks records the payment against the invoice and marks it paid.

All three connectors are on the Professional plan. If you are on Basic or Standard the card shows an upgrade prompt rather than a connect button. API keys are not limited by plan.
Billbooks can trigger a Zap when a new invoice, estimate, client or expense is created. Zapier can create an invoice, estimate, client, expense or item in Billbooks. You connect on the Zapier side using a Billbooks API key.
Five: PayPal, Stripe, Authorize.Net, Braintree and 2Checkout. Set them up under Online Payments Integration in Settings, and every invoice you send then carries a Pay Now button. The client pays without an account or a login, the money lands in your own gateway account, and Billbooks records the payment against the invoice.
In Billbooks, open Settings and then Integrations. Create a key under API Keys, copy it once, and use it as the credential for Zapier or your own code. You can revoke a key at any time, and the list shows when each one was last used.
